Adding agreements to bookings

Our legal and Privacy step in the booking creation flow allows you to attach and trigger a Document that is required to be signed.

Our legal and Privacy step can be used in many different scenarios, most commonly to send Non-Disclosure Agreements or to gain additional consent to list a few.

Firstly let's go through where to find this step in our booking setup.

After you have filled out your contacts for the project you'll find Legal & Privacy next.

You have two choices at this point, you can use our standard terms and conditions, or you can choose a custom agreement.

If you opt for a custom agreement, on the next screen you'll be able to select from templates that are already uploaded or you can create a new agreement on the fly, for full details on how to upload your custom agreements, head over to this article.

Once you have selected your agreement as shown below, you'll also be able to add additional email addresses who will receive a copy of the signed document once it is completed by the participant. For a detailed view on the signing process for the participant, jump over to this article.

If you are choosing an existing template at this stage you'll be able to preview it.


Heads Up!

The recipients that you add on the screen above will receive signed agreements from that project, but if you would like to set an email address to always receive agreements you can set that in the resources section of your account.


Now that you've added your template, you can select next and finalise your project.

Once your booking is live, and participants are applying, you will see a new column called Agreement, on the participant management screen. The status will indicate whether or not the selected participant has signed the document or not.


FAQ

What happens if a template is deleted that is attached to an active booking?

It's not possible to delete a template that is in use with an active booking.

How many templates can I add to my account?

There is no limit to the number of templates you can add to your account, however, it is important to keep in mind that the more templates you have, the more complex choosing the right agreement will be. We would encourage you to name your templates accurately so that you can determine which one is right for your project.

Can I add an agreement to a booking that is in progress?

Unfortunately no, it is important that you make the decision to add an agreement prior to a booking being sent for review. This ensures there is no inconsistency in the participant's obligations.
