Participant Statuses and Actions

A quick guide for all the participant statuses you might see in a Study.

We've outlined each status below with plenty of detail, just in case you're unsure of a status and it's meaning.

Available

Applicant is available and can be invited to a Session or Task Link.

From the actions menu you can invite or message an applicant as well as report an issue.

Invited

Applicant has been invited but hasn’t responded yet. For moderated research, an applicant can only ever been invited to one session per Study.

Once you've sent an invite you'll be able to resend the invite or reschedule the session. You'll also be able to message the participant or cancel their session. You'll also be able to report an issue.

Declined

If an Applicant has declined the session time their status will update to reflect this.

You'll be able to invite them again or message them to understand why they declined if they didn't communicate a time that suits you both.

Confirmed

Participant has accepted to take part in the research.

If the session is a moderated session being run through Askable Sessions, you'll also see the join call button if the participant is next up in your schedule.


Once a Participant has confirmed you'll be able to access all up to date Askable Sessions links (if you're using Sessions) reschedule, message, and cancel the Participant. You'll also be able to mark them as complete once you've finished the session. You can also report an issue too.

Waitlisted

A waitlisted Participant has accepted the invite to a session but are waitlisted due to either:

  • Another Participant accepting an invite to the same session time they were invited to

  • The Study quota is full and they accepted after the quota count was met

The participant is NOT automatically invited again if someone cancels, you will have the authority & freedom to re-invite them & lock them in!

You can reschedule a Waitlisted Participant manually from the actions menu or send them a message if needed!

Complete

The Participant has either marked themselves as complete, or have been manually marked as complete by yourself in the Study.

Remember: Completed = Payment releases to participant


You'll also be able to rate the Participant, provide any important feedback as well as report an issue.

Cancelled

Participant cancelled prior to attending their session. Participants are encouraged to only cancel 24 hours in advance in extreme circumstances.

You can invite them again, send them a message if you need to follow up on the cancellation or report an issue.

Reported

Applicant has been reported by a researcher in this Study for any reason.

Although unlikely, you can still invite a reported Participant or send them a message if needed.

Time Expired

For unmoderated studies, if a participant has failed to complete or Mark themselves as Complete within 2 hours, they will be Time Expired & forfeit their payment.
