Choosing, Shortlisting & Inviting Participants

Manage your participants like a boss! We'll show you the best & most effective ways to lock your participants in.

Your study is live and applicants are rolling in. The flow from list to booked sessions is: segment your applicants, shortlist your favourites, then invite individually or in bulk.

Step 1: segment your applicants

Use segments to split the list into the cohorts you actually need, for example full-time workers vs students.

  1. Click Filter.

  2. Combine screener answers and demographic fields.

  3. Save and label the segment.

  4. Repeat for each sample group.

Full guide: How to use Segments. Adding a goal number to the segment name (for example "Small business owners (4)") also helps our Fulfilment team push recruitment toward that group.

Step 2: shortlist your favourites

Click the heart next to participants who stand out. To see all shortlisted people in one view: click Filter, set Shortlisted is True, and save it as its own segment.

Step 3: invite

Individually:

  1. Click the dropdown next to the participant's name.

  2. Select Invite.

  3. Choose from their available times in the side panel and hit Send.

In bulk (the fast way):

  1. Tick the checkboxes for multiple participants, or select everyone in a segment.

  2. Click Invite at the top.

  3. Click Populate suggested times and the system schedules around everyone's availabilities.

  4. Hit Send.

Always over-invite

Invite more people than you need. It's first in, best dressed: the first to accept get booked, late accepters are waitlisted as backups, and you're never charged beyond your set quota.

Want to start slow?

You can invite in stages: invite a handful first, run a session or two, then invite the rest. Your quota doesn't expire and uninvited applicants keep their place on the list.

Can't invite anyone?

If invite or message actions error or are missing, your account may be on the Guest role, which can't manage participants in active studies. Ask an Admin to upgrade your role.
