Tips for running In Person Studies

In person sessions are perfect for physical product testing, food & beverage tasting, or simply meeting your customers face to face. They ask more of participants than remote sessions, so a bit of planning goes a long way. Here's what works.

1. Make the incentive worth the trip

Participants attending in person give up travel time and costs, so the incentive matters more than usual. Incentives are calculated automatically based on your session format and duration. 2. Pick an easy location

A far away or hard-to-find venue deters applicants. A shared office space, or a familiar landmark like a well-known cafe or library, keeps the barrier low.

3. Prep ahead

Set your study up 2 to 3 weeks before your sessions. That gives recruitment time to deliver plenty of applicants to choose from, and gives participants time to plan around the trip. Prime session times help too: lunch hours, after school, after office hours, and weekends.

4. Offer benefits

If you can provide refreshments, free parking or freebies, say so. It gives participants an extra reason to attend, and our team can mention it when broadcasting your study to the panel.

5. Have your laptop handy

Incentives are processed automatically once a session is marked complete, so manage your study live on the day. If someone doesn't show, mark the no-show straight away so they aren't paid. If you're facilitating solo, consider having a colleague on hand to manage the Askable side while you run the sessions.

6. Book backup participants

In person no-shows are costlier than remote ones, so build in insurance. Some teams purchase extra quota spots and confirm 1 or 2 standby participants who know they may not be needed. See Waitlisting participants for how backups work.

Special instructions for attendees

Use your study's description and additional instructions to tell participants anything they need to know on the day: parking, check-in process, what to bring, or any venue requirements.
